1. Eligibility & Registration
• Participants must be aged 18 or over unless a specific age range is stated for the event.
• Registration must be completed by a person aged 16 or over. Under-16s must be registered by and accompanied by a responsible adult aged 18+.
• Leicester Hospitals Charity reserves the right to request proof of age or ID at any time. Failure to comply may result in withdrawal from the event.
• Understand that the event is not organised by Leicester Hospitals Charity, but by a third party (“Event Organiser”). It is my responsibility to read, and comply with, any terms and conditions issued by the Event Organisers.
• You must contact Leicester Hospitals Charity if you are unable to take part in the event as soon as possible before the event to allow time for appropriate arrangements to be made.
2. Fundraising
• I will use my best endeavours to raise money for Leicester Hospitals Charity in connection with my participation in the event and, in particular aim to raise at least the specified fundraising target if I have accepted a Charity Place.
• Understand that Gift Aid doesn’t count towards your fundraising target.
• Understand and make clear to those who support your fundraising that any money given to Leicester Hospitals Charity as sponsorship will be treated as a donation for the charity.
• Donations are not generally refundable, even if you fail to take part in or withdraw from the event.
• Any fundraising I undertake in connection with my participation in the event will be for Leicester Hospitals Charity only (applicable to Charity Place participants) and I will forward all monies donated to the Charity either by cash, cheque, CAF or via an online giving provider no later than four weeks after the event.
• I will only use lawful means to fundraise for Leicester Hospitals Charity and will not bring the charity’s names into disrepute.
• I will observe all fundraising rules and I will comply with any further rules and requirements about fundraising of which Leicester Hospitals Charity notify me.
• I will not use the logo of Leicester Hospitals Charity or any associated logo without first obtaining permission from the charity and will allow the charity to approve any materials produced, whether printed or online.
• I will not incur Leicester Hospitals Charity any cost, claim, loss or liability.
• I will contact the Leicester Hospitals Charity before conducting any raffle, lottery or public event, and comply with any guidance, guidelines or insurance and legal requirements issued by the charity in connection with this kind of event.
• I will obtain approval from Leicester Hospitals Charity before approaching press or celebrities to support my event.
• I will secure the necessary approvals prior to undertaking street collections or collections on private property. House-to-house collections are not permitted.
• I will ensure that I take responsibility for the safe keeping of money raised on behalf of the charity, both during and after the collections, until it is transferred to the Leicester Hospitals Charity.
• Send the Leicester Hospitals Charity all filled in sponsor forms with details of the names and addresses and amounts donated or pledged by all sponsors no later than 4 weeks after my event.
• Ensure that donations by cheque are payable to ‘Leicester Hospitals Charity’ and ensure that these cheques are sent to Leicester Hospitals Charity, Belgrave House, Leicester General Hospital, Gwendolen Road, Leicester LE5 4PW no later than 3 weeks after issue.
• Only use sponsorship forms issued by Leicester Hospitals Charity and not use any other type of sponsorship form (unless otherwise agreed with the Charity).
3. Health & Safety
• Participants must be in a reasonable state of health and, by registering, confirm that they are medically fit and able to participate in the event.
• Participants take part at their own risk and must accept that Leicester Hospitals Charity, event organisers, or sponsors are not liable for any injury, loss, or damage caused or sustained as a result of participation unless caused by negligence.
• All participants agree to adhere to any COVID-19 or health and safety guidelines in place at the time of the event.
• Participants accept responsibility for any personal expenses incurred as a result of accident, injury, or emergency during the event.
4. Conduct & Behaviour
• Participants must be considerate of other participants, spectators, and members of the public at all times.
• Participants agree to follow all instructions given by event staff, marshals, and signage throughout the event.
• All participants must wear appropriate clothing and footwear as outlined in the event FAQs or instructions.
• Participants must not be under the influence of alcohol or drugs at the event. Anyone suspected of being under the influence may be removed.
• Event organisers reserve the right to refuse entry, or to remove any participant who is behaving inappropriately, without a refund.
5. Fundraising & Fees
• Each participant must raise at least the minimum sponsorship amount stated for each event to take part or risk losing their place.
• All registration fees are non-refundable and non-transferable unless otherwise stated.
6. Event Changes & Liability
• Leicester Hospitals Charity reserves the right to change event details (date, time, format) due to safety concerns, weather, or other reasons. Refunds will not be offered in these circumstances, but alternative options may be provided.
• Leicester Hospitals Charity is not responsible for any property lost or damaged during the event.
• Leicester Hospitals Charity’s liability is limited to the cost of the event registration. We are not responsible for indirect or consequential loss.
7. Photography & Media
• Leicester Hospitals Charity may take photographs or video footage during the event and use these in future promotional materials, including social media, websites, print, and video. By registering, participants agree to this unless they notify the charity in writing in advance.
